CONSTITUTION
LEWIS AND CLARK ARCHERS, INC.
(Affiliated with The National Field Archery Association)
ARTICLE I
NAME
- The organization’s name shall be Lewis and Clark Archers, Inc.
ARTICLE II
PURPOSE
- The purpose of this Organization shall be:
- To foster, expand, and perpetuate the practice of archery and the spirit of good fellowship among all archers; to encourage the use of Archery equipment in harvesting all legal game; and cooperate with all those associated with securing better hunting privileges and conditions for bowhunting.
ARTICLE III
MEMBERSHIP
- Active membership shall be granted to anyone who has attained his/her eighteenth birthday upon application and payment of regular fees and dues.
- Youth membership shall be granted to anyone under eighteen years of age, with a parent/guardian signature, and upon payment of such fees and dues as may be fixed by the Board of Directors.
- The Club will offer a discount of 10% to Military personnel (Active, Reserve, National Guard, Retired, and Veterans with an Honorable discharge) and First Responders (Police, Fire, and Emergency Medical Services, both active and volunteer) after verification of qualifying service according to the bylaws.
- The Board of Directors will determine the appropriate consequences of any violation or misconduct detrimental to the Association’s interests or a member’s safety violation per the bylaws.
ARTICLE IV
BOARD OF DIRECTORS
- The Board of Directors shall consist of a President, Vice President, Secretary/Treasurer, Membership, Tournament Director, and (2) Members-At-Large.
- The Board of Directors shall control and manage the activities, policies, and property of the Organization.
- At any meeting of the Board of Directors, four members of the Board shall constitute a quorum.
- All vacancies of the Board of Directors or any office shall be filled by appointment by the Board of Directors.
- The Board of Directors shall meet quarterly, in addition to the regular club meeting, at a time and place fixed by the Board.
ARTICLE V
OFFICERS AND THEIR DUTIES
- The officers of the Organization shall consist of a President, Vice President, Secretary/Treasurer, Membership, Tournament Director, and (2) Members at large.
- President – Shall preside at all meetings, appoint all committees, and generally perform the duties relevant to the office. The President is determined through a succession of the Vice President to the position.
- Vice-President – Shall perform the President’s duties if they cannot act. The Vice President shall be elected for two years—the first year to be served as Vice President and the second to serve as President.
- Secretary/Treasurer Officer -Shall keep all records of the Archery club, serve all notices of meetings, and receive all correspondence. The Secretary is responsible for taking minutes at meetings, posting the minutes on the club’s Facebook page and bulletin board, and emailing active members. Responsible for developing and printing the annual membership application. Delivers and retrieves membership applications from Capital Sports & Buffalo Jump Archery. Collects the money from sales, records the transactions, and makes bank deposits. As Treasurer, you are responsible for all IRS, State of Montana & MAAI required reports, maintaining insurance for the archery club, paying monthly bills of the archery club, & balancing bank accounts, and preparing a monthly Treasurer report.
- Membership – Sets up membership information in the PDK system to allow members access to the range. Submit a membership report at every monthly meeting.
- Tournament Director – Responsible for organizing and running the indoor and outdoor range, ensuring everything is in good repair, and the ranges are clean. Responsible for making sure ranges meet the safety requirements. The ranges and tournaments will run along with the assistance of other officers/members as needed.
- Youth Archery Director – Responsible for organizing, running, and handling youth activities and interactions for the club with the assistance of other officers/members as needed. Shall work toward the coordination of existing youth programs, stimulate inner club competition, and familiarize program directors with the available NFAA awards system for youth with the help of the other officers and members.
- Member at Large (2) – Responsible for attending meetings, 2-year term. The Members at Large will be elected on alternating years for two-year terms.
ARTICLE VI.
ELECTIONS AND TERMS OF OFFICE
- The annual meeting of this Organization shall be held in December.
- At the annual meeting, the membership shall elect the Vice President, Secretary/Treasurer, Membership, Tournament Director, and (2) Members at Large on alternating years.
- The President shall be determined through a succession of the Vice President to the position—the vice president has been selected for the vice presidency and succession. The first year to be served as vice president, the second to be served as President.
- All other officers are to be elected for one year.
- The Members at large are to be to be elected on alternating years.
- If there are two board officers from the same household on the board, only one vote from that household shall be counted.
- Due to the potential conflict of interest, club members who own the archery shop renting space from Lewis and Clark Archers shall be ineligible to run for office.
ARTICLE VII
FEES AND DUES
- The membership dues for single persons, families, and juniors shall be determined by the Board of Directors and voted on by the members at the annual meeting.
- The Board of Directors shall fix league and tournament fees.
- The membership dues shall be waived for the President, Vice President, Secretary/Treasurer, Membership, Tournament Director, Youth Archery Director, and the (2) Member-At-Large for the term of their office.
- The Organization shall pay the NFAA dues for the Secretary/Treasurer.
ARTICLE VIII
FISCAL YEAR
- The fiscal and membership year of the Organization shall begin on January 1
- Membership year goes 12 months from the date of purchase or renewal.
ARTICLE IX
COMMITTEES
- The President shall appoint committees as follows: Constitution/By-Laws, Membership, Tournaments, Publicity, and special committees as necessary.
ARTICLE X
TOURNAMENTS
- Annual tournaments shall be held as determined by the Board of Directors and through recommendation and vote of the attending meeting membership.
ARTICLE XI
BY-LAWS
- To be written at a later date by the Constitution Committee.
- After the Board of Directors has adopted the initial draft of the constitution and bylaws, any changes must be approved by the club’s membership.

BY-LAWS
ARTICLE I
- General Rules and Regulations
- The following will be the general rules and regulations of the Lewis & Clark Archers, Inc.
- NFAA Affiliation
- This club is affiliated with the National Field Archery Association and follows all the terms, definitions, target rules, classes, divisions, and shooting positions stated in the NFAA bylaws.
ARTICLE II
Shooting Styles and Equipment Rules:
- General
- A conventional bow of any type may be used, provided it subscribes to the accepted principle and meaning of the word “bow” as used in the archery competition,
- Equipment
- This club will follow the rules for Compound Bow, Barebow, Freestyle, Freestyle Limited, Freestyle Bowhunter, Traditional, Freestyle Limited Recurve, Barebow Recurve, and Longbow as stated in the NFAA bylaws.
ARTICLE III
Conduct & Disciplinary Actions:
- No alcoholic beverages or controlled substances (drugs) may be carried or consumed on any range or practice area during shooting hours at any shoot or tournament. Anyone caught breaking this rule will be immediately disqualified and unable to complete the tournament.
- Littering on the grounds of any tournament will not be permitted. Please keep our ranges clean.
- Un-sportsmanlike conduct on the ranges or tournament grounds will not be tolerated.
- A competitor must follow the established tournament rules; disqualification will happen immediately if improper conduct or creating a safety hazard occurs. Disciplinary actions, from warnings to disqualifications, are at the Tournament Chairman’s discretion.
- Verbal abuse or slander directed toward a Tournament Official while conducting their duties will immediately disqualify the shooter from the tournament.
- Any disqualifications of a competitor should be documented in a written report signed by the Tournament Chairman following the day’s events. The report will be available for review by the board of directors.
- Using personal stereo or radio equipment for music or self-coaching is prohibited while on the shooting line in competition (or official practice).
- VIII.The board of directors will review any violation of the rules at any range or shoot, and the appropriate action will be determined and implemented.
ARTICLE IV
AWARDS:
- The Board of Directors shall control the system of issuing awards.
ARTICLE V
CLASSIFICATIONS:
- The Association will administer the field classification system according to the system established or approved by the Board of Directors or the NFAA Board of Directors.
- The Association will administer the target classification but will strictly follow the system established by the NAA.
ARTICLE VI
RANGE APPROVAL:
- The Association will administer range approval and inspection
- The standards for field range approval will be established by the Board of Directors of the NFAA.
- The Association will develop the standards for target range approval.
ARTICLE VII
FEES AND DUES:
- There shall be a membership fee as prescribed by the Board of Directors.
- Special fees and dues for archery tournaments, contests, and other archery Activities association-sanctioned events shall be fixed by action of the Board of Directors as required.
- Any member delinquent in payment of any dues shall not be eligible to Participate in any activities or receive trophies or awards.
- Membership year goes 12 months from the date of purchase or renewal.
ARTICLE VIII
COURSE AND TOURNAMENT RULES:
- Course and tournament rules shall follow the rules of the NFAA unless otherwise recommended by the tournament Chairman and Approved by the Board of Directors.
- The time and place of holding and tournaments shall be determined by the Action of the Board of Directors upon recommendation by the Tournament Chairman. The tournament fees, the competitive events, and the Rules governing the play of annual tournaments shall be established by the Board of Directors.
- Competition in any invitational tournament shall be open to all members Whose fees and dues are paid.
- The Board of Directors may establish various classes in any competitive Event and provide for all handicapping systems of scoring provided; however, the award of championship honors shall be based on actual Scores only.
- Affiliated club invitational tournaments are to be scheduled according to the Association’s requirements.
ARTICLE IX
PRIZES AND TROPHIES:
- Only members in good standing are eligible for awards.
- Special awards for high scores to non-member archers participating in sponsored and conducted annual tournaments may be awarded. Prizes for various classes of non-member competitive Scores may be recommended by the awards committee and approved by The Board of Directors.
- The Association is to be a financial participant in all annual events in a manner prescribed by the Board of Directors.
